General instructions in c/w Finacle operations.

1.Please refer to the Master Circular
of DG Posts communicated in SB ORDER 14/2012 thoroughly to ensure that the KYC
norms are followed scrupulously.
2.Kindly ensure sufficient stock of
the latest ACCOUNT OPENING FORM prescribed by the Directorate.
3. Please do not take Xerox copies of
A O Forms back and back since the scanner in the CPC requires individual sheets
for all the four pages please.
4.Account opening form is user
friendly and proper filling up of form and filling up maximum information that
can be furnished with due care will be highly helpful to the customer.
A depositor will visit the post
office in the following scenario.
1. A customer willing to open a new
account but does not have a CIF ID
2. A customer willing to open a new
account but already has a CIF ID
3. A customer furnishing a change
request without signature and photo
4. A customer furnishing a change
request with signature and photo along with fresh KYC Documents. (Kindly
furnish the nature of process to be done at CPC specifically)
ACCOUNT OPENING FORM
1. Name of the Post office is to be
filled up invariably.
2. Date of opening is to be filled
clearly.
3. SOL ID a rubber stamp may be affixed clearly
denoting the SOL ID number
4. Ticks may be made in the respective
boxes.
5. The photograph of the depositor has
to be pasted inside the boxes vertically and it should not be stapled.
6. The applicant signature is to be
legible.
7. Overwriting may not be allowed.
8. Extra photographs are not
needed. Only one at the appropriate
place will do.
9. No joint photograph is allowed. Each depositor is to furnish a photo
separately.
10. Signature of the Postmaster along
with date and seal at the appropriate place may kindly be ensured so as to
authenticate the document.
11. Phone number, E mail ID if given by
the depositor may kindly be filled up.
12. The SS portion of the account holder
may be cut and pasted in a SS book.
13. Please do not fold the Account Opening Forms
while sending it to CPC. Kindly ensure the
sufficient size covers for sending the AO Forms.
KNOW YOUR CUSTOMER DOCUMENTS
1. KYC documents are to be in A4 size
only and with a clear image.
2. Correct superscriptions for Address proof and
ID proof may be furnished and CIF number of the account holder has to be
written on it.
3. ID proof and AD proof documents of
joint holders has to be given separately.
4. ID proof documents shall be from any
one of the following.

1.
Adhaar card, 2. Driving license, 3. IDCD issued from Central/State or PSU or
recognized school.4. Pan card, 5. Post office ID, 6. Passport, 7. Ration card, 8.
Voter ID.

If
the ID proof itself is consisting of Address ,
then the same can be retained as Address proof . In that case, the KYC copy may kindly be
super scribed as POI/POA Eg: passport etc.,
5. Address proof shall be from any one
of the following only.
·
1.
Adhaar card, 2. Certificate from a public/Postal/GDS delivery agent 3. Driving
license, 4. Passport, 5. Ration card, 6.
Salary slip, 7. Telephone bill 8. Voter ID
6. PAN card if not available, Form 60 /
61 has to be furnished. Similarly Form
15 H and form 15 G and others like disability, BPL etc may be furnished.
DATA ENTRY OF ACCOUNT OPENING FORMS
1. Please ensure the de duplication
check is done for every new customer.
2. The documents may kindly be stapled
only once.
3. Extra copies may kindly be avoided.
Please do not tag KYC documents in Account level. These are to be tagged at CIF level only.

While opening different types of
accounts and while doing the data entry the Number of documents column should invariably be noted
as 1 only. In case Documents other than KYC such as change request and Form
60/61, Form 15 H, Form 15 G then the no of documents may be entered as two , three and so on
as included.Please do not include the
documents marked for CIF GENERATION in Account level data entry please.
5. During creation of a CIF ID utmost
care may be taken while choosing the document type under Document details. Once it is verified at CCRC the document type
cannot be changed at any level.
6. Minor to Major report may be
generated before day end and change from minority to majority formality may be
ensured otherwise the minor account will be freezed.
7. While opening accounts of any
category in respect of an existing customer please ensure that the default
errors prevailing in the following fields are altered correctly.
i) Title error Kindly
change it as MR or MRS or MS
ii) Gender error Kindly change it as
Male or Female
iii) Date
of birth Kindly furnish the
correct DOB. Pl use the calendar icon only.
iv)
KYC status Kindly change
it as Documents submitted to CPC
v) Fathers Name Kindly
furnish the correct name
vi) Docs tagged Kindly
tag the documents as AD and ID proof
Vii)Address Kindly furnish the address available in
ADPROOF
By invoking the menu HFINRPT, a
report on a daily basis may be generated on the documents status at CIF level
and Account status in duplicate and the same may be reviewed and invariably be
sent to CPC along with the documents. A
record may kindly be maintained on the documents sent and received from CPC so
as to track and trace the movement of these documents.

Center Day-to-day basis .

18.Whether new Account Opening Forms
(AOF) and KYC documents are being sent to CPC on daily basis and bundles received back
from CPC are being preserved securely?
